Scenario 1: Inbound Operations - Quick Product Lookup
Situation: You receive a shipment and need to quickly check each product's default shelf and current inventory to arrange putaway.
How to do it:
▸ Scan Products
- Go to the Product List page
- Confirm you have selected the correct merchant
- Scan the product barcode with a scanner
- The system automatically displays product information
▸ Check Location and Shelve
- Click the product name to view details, confirm the Default Shelf (Preferred recommendation during inbound putaway; also used as fallback if no shelf is specified during inventory import)
- Shelve the product at the default shelf
- Continue scanning the next product

How to do it:
- Go to the Product List page
- Select the corresponding merchant

- Click the product name to open the detail page
- Click "Inventory" and check the "By Shelf" view to see which shelves hold the product and how many on each
- Go to that shelf to pick the product
Result: See the product's storage location directly, reducing time spent searching for products.
Scenario 3: Stocktaking - Export Product List

- Click "Add filter" → select "Merchant" → choose the target merchant
- Click "Add filter" → select "Activation Status" → choose "Enabled"
- Click "Apply filters" to show results
▸ Export and Count
- Check the products to export and click "Export"
- The file downloads automatically once processing finishes
- Print the list and start counting
Result: The complete list ensures no products are missed; you can compare actual vs. system quantities directly.
Scenario 4: Barcode Scan Issues - Quick Diagnosis
Situation: While picking, scanning a barcode returns no product and you need to confirm the issue.
How to do it:
- Go to the Product List page
- Type the full barcode into the search box (barcodes must be entered in full to match)
- Press Enter to search
- If the product is found, verify its name and status
- If not found, try the "Other Barcode" filter
Result: Quickly identify the cause; both the main barcode and other barcodes are searchable, so issues can be fixed right away.

3. FAQ
Quick Jump: FAQ | Important Notes
3.1 FAQ
▪ Why can I see products from multiple merchants?
Your account has been granted access to those merchants' products. Administrators configure which merchants you can access based on your work needs.
▪ What is the difference between "Available Stock" and "Total Stock"?
| Type | Description | Warehouse Use |
|---|---|---|
| Total Stock | Sum across all inventory types, including allocated and available stock | Reference during stocktaking |
| Available Quantity | Quantity available to ship, excluding stock allocated to orders or on hold | Confirm before picking |
▪ What does "allocated" or "held" stock mean?
Allocated: When an order is created, the system allocates the quantity to that order pending picking and shipping; it cannot be used by other orders.
Held: When a product has an issue (defect, pending confirmation), you can use "Hold" to set quantities aside so they are not shipped, then release the hold once resolved.
▪ How do I find a specific product quickly?
| Situation | Recommended Method |
|---|---|
| You know the SKU | Search the SKU directly |
| You know the barcode | Scan it with a scanner (fastest) |
| You know part of the name | Search the keyword |
| You only know the merchant | Use the merchant filter |
| You know merchant + brand | Filter by merchant, then by brand |
▪ Search returns nothing but I am sure the product exists — what now?
Check in order:
- Remove all filters and search again
- Confirm whether a specific merchant is selected; the product may belong to another merchant
- Confirm the search keyword is correct (barcodes must be complete)
- Add the "Activation Status" filter and choose "Disabled" to see if the product was deactivated
- Confirm account permissions: you only see products of authorized merchants
▪ Nothing happens after scanning — what should I check?
| Check | Description |
|---|---|
| Cursor position | Make sure the cursor is in the search box |
| USB scanner | Check the USB connection |
| Bluetooth scanner | Check the pairing |
| Barcode clarity | Make sure the barcode is readable |
| Scanner settings | Recommended: "auto Enter after scan" |
▪ Why can't I edit products?
| Cause | Solution |
|---|---|
| Your role lacks edit permission | Contact your supervisor or administrator |
| Product belongs to another merchant | Confirm cross-merchant permission with your supervisor |
▪ A batch operation never finishes — is it stuck?
Batch operations (especially exports) can take several minutes; the more products, the longer it takes. A notification appears when done and export files download automatically. If it never completes, contact your administrator.
